DEVELOPMENT OF DIGITAL DOCUMENT MANAGEMENT SYSTEM FOR RIVER BASIN RESEARCH CENTRE, NATIONAL WATER RESEARCH INSTITUTE OF MALAYSIA (NAHRIM)

The document management system is conventionally done using files where all the relevant documents and letters will be stored and systematically organized in one file. The importance of using a document management system is as follows: i. Record and save all important documents ii. Improve the effectiveness of the search or referral process iii. Increase efficiency and streamline the information management process However, this conventional document management system has weaknesses such as when too many documents and letters are stored in a file, it will complicate the search process and will take a long time to get the document. In addition, it requires a large space to store files. With the latest technology and the world now heading towards digital, this conventional document management system needs to migrate to a digital system where all documents and letters are stored and managed digitally and online. The advantages of using a digital system are as follows: i. Provide efficient and systematic record management. ii. Facilitate access and information retrieval process efficiently and quickly iii. Allows digital (softcopy) and physical (hardcopy-scanned) records to be stored and maintained electronically iv. Optimize storage space on the server (server) and can reduce excessive file storage (redundant files) Therefore, the development of digital document management system is necessary and important nowadays to improve the way document management works, improve the effectiveness and efficiency of document management.
